Key findings

  • Only 7 of the 12 major providers (58%) publish any pricing at all. Ansarada is the only enterprise-tier vendor with a full public rate card.
  • The entry-price spread across the market is roughly 170×: from €59/month (Papermark, first data room included) to reported $15,000+ minimums per small deal at Datasite.
  • The median published entry price for a functional data room is about $250/month (SecureDocs; Ansarada matches it at $244/month on 12-month terms).
  • Per-page pricing survives only at the top: Datasite and Intralinks still carry reported $0.40–$0.60/page economics, meaning a 100,000-page deal can cost ~$60,000 in page fees alone.
  • Annual-term discounts are the market's biggest hidden lever: 15–43% off monthly rates (Ansarada's 12-month terms cut rates by ~50%).
  • Consolidation is concentrating the enterprise tier: Datasite now owns Firmex (2021) and Ansarada (2024), so three of the twelve tracked brands share one owner.
  • Papermark is the only tracked provider with an open-source codebase, making self-hosting the sole path to a $0 full-featured data room.

"Reported" figures are third-party estimates triangulated across at least two independent sources; they are not official prices. EUR prices are native (Papermark bills in EUR). Sources for every figure are linked from the per-provider pricing guides in the pricing hub.

Methodology

Published prices were captured from official vendor pricing pages in July 2026 (Papermark, SecureDocs, Digify, DocSend, CapLinked, ShareFile, Ansarada) and are reproduced with billing terms stated. For the five vendors that publish no prices, we triangulated ranges across independent third-party pricing reports and review-site data, kept only figures corroborated by at least two sources, and labeled every such figure "reported." Currency is as billed by the vendor.

Limitations: quote-only vendors negotiate case by case, so reported ranges describe the market's experience, not any specific quote you will receive. Overage fees, setup fees, and extension terms — often the largest real-world cost drivers — are documented in the per-provider guides rather than the headline index.
